1. Scope

This Reservation, Payment & Cancellation Policy applies to all travel experiences, retreats, tours, and events organized under the Love Journey Beyond Borders program, operated by Love Journey Connections LLC ("Love Journey," "we," "our," or "us").

By submitting a registration, paying a deposit, or making any payment toward a trip, you acknowledge that you have read, understood, and agree to this policy.

2. Reservations

Reservations are accepted on a first-come, first-served basis and are subject to availability.

A reservation is considered confirmed only after:

·       Your registration has been accepted by Love Journey;

·       The required deposit has been received;

·       Space remains available.

Because our journeys are intentionally designed for small groups, availability is limited.

3. Deposits

A deposit is required to reserve your place on each journey.

The required deposit amount will be specified on the individual trip page and may vary depending on the destination.

The deposit is applied toward your total trip price.

Your reservation is not guaranteed until the deposit has been successfully received.

4. Early Bird Pricing

When offered, Early Bird pricing is available only until the published deadline.

To qualify for Early Bird pricing:

·       Registration must be completed before the stated deadline.

·       The required deposit must also be received before the deadline.

After the Early Bird period expires, the regular trip price will apply.

Early Bird pricing cannot be applied retroactively.

5. Payment Schedule

The remaining balance must be paid according to the payment schedule published for each individual journey.

Participants are responsible for ensuring all payments are received by the applicable due dates.

Failure to make timely payments may result in:

·       cancellation of the reservation;

·       forfeiture of deposits and applicable payments;

·       release of the reserved space to another participant.  

6. Optional Tours & Activities

Certain optional tours and experiences offered in connection with a Love Journey Beyond Borders experience may require advance payment to secure reservations, limited availability, and preferred group pricing with our travel partners.

Participation in these activities is entirely optional. However, participants who wish to take advantage of the advertised group rate must submit payment by the published deadline. Requests to join an optional tour after the deadline will be accommodated only if space remains available and may be subject to higher pricing based on the rates then offered by our travel partners.

Prices for optional tours are based on supplier rates and minimum participation requirements and are subject to change until payment is received.

If an optional tour becomes unavailable, is canceled, or cannot be operate for any reason, Love Journey Connections LLC reserves the right, in coordination with its travel partners, to substitute a comparable experience of similar value. Such substitutions shall not entitle participants to a refund.

Optional tour payments are subject to the cancellation and refund policies of the applicable travel suppliers. Unless otherwise stated in writing, payments for optional tours are generally non-refundable once Love Journey Connections LLC has confirmed the reservation with the supplier.

7. Participant Cancellations

All cancellation requests must be submitted in writing by email to i[email protected]. The effective cancellation date shall be the date the written notice is received by Love Journey Connections LLC (“Love Journey”).

7.1 Reservation Deposits

Reservation deposits are generally non-refundable.

Deposits secure one of a limited number of spaces and allow Love Journey to begin making financial commitments with hotels, transportation providers, local tour operators, guides, activity providers, and other travel partners and suppliers.

Credit card processing fees, payment processing fees, and bank charges are non-refundable under all circumstances, as such fees may be retained by the applicable processor or financial institution and may not be returned to Love Journey.

7.2 Cancellations Received 30 or More Days Before Departure

For cancellations received at least thirty (30) calendar days before the scheduled departure date, the initial reservation deposit shall remain non-refundable.

Refund eligibility for payments made beyond the initial deposit, if any, shall depend upon:

the timing of the cancellation;

the cancellation and refund policies of the applicable travel suppliers in effect at the time of cancellation;

financial commitments already made on the participant’s behalf;

non-refundable supplier charges and penalties;

credit card and other payment processing fees;

bank charges;

administrative costs; and

any other expenses that Love Journey is unable to recover.

Any eligible refund shall be calculated only after all applicable supplier penalties, processing fees, bank charges, administrative costs, and other unrecoverable expenses have been deducted.

If a participant cancels thirty (30) or more days before departure, Love Journey may, at its sole discretion, offer one or more of the following:

apply all or part of the participant’s deposit or other eligible payment as a credit toward a future Love Journey Beyond Borders experience;

approve the transfer of the reservation to another eligible participant, subject to availability, supplier approval, and any applicable transfer, name-change, or administrative fees; or

issue a partial refund if the participant’s reserved space is filled by another eligible participant before non-refundable supplier commitments have been made.

These options are entirely discretionary, are evaluated individually, and are not guaranteed.

7.3 Cancellations Received Less Than 30 Days Before Departure

Cancellations received less than thirty (30) calendar days before the scheduled departure date are non-refundable.

No refund, credit, or reimbursement shall be due for the initial deposit, installment payments, final payments, optional experiences, room upgrades, supplements, or any other amount paid in connection with the journey.

Love Journey may, at its sole discretion, approve a reservation transfer, future travel credit, or partial refund when funds are successfully recovered from the applicable suppliers. Any such exception shall be subject to supplier approval and the deduction of all applicable penalties, processing fees, bank charges, transfer fees, administrative costs, and other unrecoverable expenses.

An exception granted in one circumstance shall not create a precedent or obligation to grant an exception in any other circumstance.

7.4 Failure to Make Scheduled Payments

Participants are responsible for ensuring that all payments are received by the applicable deadlines.

Failure to make any payment by its due date may result in:

cancellation of the participant’s reservation;

forfeiture of the deposit and any other amounts already paid, to the extent such amounts are non-refundable or have been committed to suppliers; and

release of the reserved space to another participant.

Love Journey is not required to provide additional notice or a grace period unless otherwise agreed in writing.

A reservation canceled for nonpayment shall be treated as a participant cancellation and shall be subject to the cancellation terms applicable on the date the reservation is canceled.

7.5 Reservation Transfers

A participant who is unable to travel may submit a written request to transfer the reservation to another eligible participant.

All reservation transfers:

require prior written approval from Love Journey;

are subject to availability and supplier approval;

must comply with applicable passport, ticketing, hotel, transportation, and supplier requirements; and

may be subject to transfer, name-change, processing, administrative, or fare-difference charges.

Love Journey does not guarantee that a transfer will be available or approved. Unless otherwise agreed in writing, the original participant remains responsible for all outstanding amounts and applicable fees until the transfer has been completed and accepted by Love Journey and the relevant suppliers.

7.6 Optional Experiences and Additional Services

Payments for optional tours, activities, room upgrades, single supplements, additional accommodations, and other special arrangements are subject to the cancellation policies of the applicable suppliers.

Unless otherwise stated in writing, such payments may become non-refundable once the reservation has been confirmed with the supplier.

Cancellation of the primary journey reservation does not automatically create a right to a refund for optional experiences or additional services.

7.7 No-Shows, Late Arrivals, Missed Services, and Early Departures

Participants who:

fail to arrive for the journey;

arrive after the journey has commenced;

arrive too late to participate in a scheduled service or activity;

voluntarily leave the journey before it ends; or

miss any portion of the itinerary for any reason

shall not be entitled to a refund, credit, or reimbursement for unused accommodations, transportation, meals, admissions, activities, optional experiences, or other services.

Any additional costs resulting from a late arrival, missed connection, early departure, or decision to rejoin the group shall be the participant’s sole responsibility.

7.8 Method and Timing of Refunds

Any approved refund shall be issued only after Love Journey has determined the amount, if any, recoverable from the applicable travel suppliers and has received those funds.

Refunds may be returned through the original method of payment or by another reasonable method selected by Love Journey.

Love Journey shall not be responsible for delays caused by suppliers, payment processors, banks, currency conversions, or other third parties.

8. Reservation Transfers

If you are unable to travel, you may request to transfer your reservation to another eligible participant.

Transfers:

·       require approval by Love Journey;

·       must comply with supplier requirements;

·       may be subject to transfer or name-change fees charged by suppliers.

Love Journey cannot guarantee that transfers will be possible.

9. Participant Changes

Requests to change travel dates, room occupancy, destinations, or other reservation details after confirmation are subject to availability and may result in additional charges imposed by travel suppliers.

10. Cancellation or Changes by Love Journey

Love Journey reserves the right to modify, postpone, or cancel any journey if necessary, due to circumstances including, but not limited to:

·       insufficient participant enrollment;

·       safety concerns;

·       severe weather;

·       natural disasters;

·       acts of government;

·       political unrest;

·       supplier cancellations;

·       transportation disruptions;

·       force majeure;

·       or any other circumstances beyond our reasonable control.

If Love Journey Connections LLC cancels a journey for reasons within its control, including but not limited to insufficient participant enrollment or operational decisions, participants will receive a full refund of all amounts paid directly to Love Journey Connections LLC.

If a journey is canceled due to circumstances beyond the reasonable control of Love Journey Connections LLC, including force majeure events, Love Journey will make every reasonable effort to recover funds from travel suppliers and will refund participants any amounts recovered. If suppliers provide credits in lieu of refunds, Love Journey may pass those credits on to participants. Love Journey Connections LLC shall not be responsible for amounts retained by third-party travel suppliers in accordance with their cancellation policies.

Where applicable, the cancellation, refund, and change policies of our travel partners and suppliers will be provided to participants as they become available and are incorporated into this policy by reference. By completing a reservation, participants acknowledge that certain portions of their trip may be subject to the terms and conditions of those third-party suppliers.

Love Journey is not responsible for reimbursing independently purchased airfare, hotels, visas, passports, travel insurance, transportation, or other personal travel expenses.

10. No-Shows and Early Departures

Participants who:

·       fail to arrive for departure;

·       arrive late;

·       voluntarily leave the journey after it has begun; or

·       miss any portion of the itinerary,

are not entitled to refunds for unused services.

11. Travel Insurance

Comprehensive travel insurance is strongly recommended and may be required for certain destinations.

Participants are encouraged to obtain insurance that includes:

·       Trip cancellation

·       Trip interruption

·       Emergency medical treatment

·       Emergency medical evacuation

·       Lost or delayed baggage

·       Flight delays

·       Personal liability coverage

Participants are solely responsible for purchasing and understanding their insurance coverage.

12. Force Majeure

Love Journey shall not be liable for cancellations, delays, itinerary modifications, interruptions, losses, or additional expenses resulting from circumstances beyond its reasonable control, including but not limited to:

·       acts of God;

·       severe weather;

·       earthquakes;

·       floods;

·       fires;

·       pandemics;

·       epidemics;

·       war;

·       terrorism;

·       civil unrest;

·       labor strikes;

·       transportation disruptions;

·       government actions;

·       border closures; or

·       other unforeseen events.

13. Exceptions

Love Journey recognizes that extraordinary circumstances may occasionally arise.

Any exception to this policy is made solely at the discretion of Love Journey Connections LLC.

An exception granted in one circumstance does not create a precedent or obligation to grant exceptions in future situations.

14. Governing Law

This policy shall be governed by and interpreted in accordance with the laws of the State of Florida, United States, without regard to conflict of law principles.

15. Acceptance

By submitting a reservation, paying a deposit, or making any payment toward a Love Journey Beyond Borders experience, you acknowledge that you have read, understood, and agree to this Reservation, Payment & Cancellation Policy.
