This Reservation, Payment & Cancellation Policy applies to all travel experiences, retreats, tours, and events organized under the Love Journey Beyond Borders program, operated by Love Journey Connections LLC ("Love Journey," "we," "our," or "us").
By submitting a registration, paying a deposit, or making any payment toward a trip, you acknowledge that you have read, understood, and agree to this policy.
Reservations are accepted on a first-come, first-served basis and are subject to availability.
A reservation is considered confirmed only after your registration has been accepted by Love Journey, the required deposit has been received, and space remains available.
Because our journeys are intentionally designed for small groups, availability is limited.
A deposit is required to reserve your place on each journey. The required deposit amount will be specified on the individual trip page and may vary depending on the destination.
The deposit is applied toward your total trip price. Your reservation is not guaranteed until the deposit has been successfully received.
When offered, Early Bird pricing is available only until the published deadline. To qualify for Early Bird pricing, registration must be completed before the stated deadline and the required deposit must also be received before the deadline.
After the Early Bird period expires, the regular trip price will apply. Early Bird pricing cannot be applied retroactively.
The remaining balance must be paid according to the payment schedule published for each individual journey. Participants are responsible for ensuring all payments are received by the applicable due dates.
Failure to make timely payments may result in cancellation of the reservation, forfeiture of deposits and applicable payments, and release of the reserved space to another participant.
Certain optional tours and experiences offered in connection with a Love Journey Beyond Borders experience may require advance payment to secure reservations, limited availability, and preferred group pricing with our travel partners.
Participation in these activities is entirely optional. However, participants who wish to take advantage of the advertised group rate must submit payment by the published deadline. Requests to join an optional tour after the deadline will be accommodated only if space remains available and may be subject to higher pricing based on the rates then offered by our travel partners.
Prices for optional tours are based on supplier rates and minimum participation requirements and are subject to change until payment is received.
If an optional tour becomes unavailable, is canceled, or cannot be operated for any reason, Love Journey Connections LLC reserves the right, in coordination with its travel partners, to substitute a comparable experience of similar value. Such substitutions shall not entitle participants to a refund.
Optional tour payments are subject to the cancellation and refund policies of the applicable travel suppliers. Unless otherwise stated in writing, payments for optional tours are generally non-refundable once Love Journey Connections LLC has confirmed the reservation with the supplier.
All cancellation requests must be submitted in writing by email. The effective cancellation date is the date the written notice is received by Love Journey.
Deposits are generally non-refundable. Deposits secure one of a limited number of spaces and allow Love Journey to begin making financial commitments with hotels, transportation providers, local operators, guides, and other travel partners.
If a participant cancels, Love Journey may, at its sole discretion, offer one of the following options: apply all or part of the deposit as a credit toward a future Love Journey Beyond Borders experience; approve the transfer of the reservation to another eligible participant, subject to supplier approval and any applicable fees; or issue a partial refund if the reserved space is filled by another participant before non-refundable supplier commitments have been made, less any unrecoverable expenses and reasonable administrative costs.
These options are entirely discretionary and are not guaranteed.
Refunds of payments beyond the initial deposit, if any, will depend upon supplier cancellation policies, non-refundable expenses already incurred, administrative costs, and the timing of the cancellation. Any eligible refund will be calculated after applicable supplier penalties, unrecoverable expenses, and reasonable administrative costs have been deducted.
If you are unable to travel, you may request to transfer your reservation to another eligible participant.
Transfers require approval by Love Journey, must comply with supplier requirements, and may be subject to transfer or name-change fees charged by suppliers. Love Journey cannot guarantee that transfers will be possible.
Requests to change travel dates, room occupancy, destinations, or other reservation details after confirmation are subject to availability and may result in additional charges imposed by travel suppliers.
Love Journey Connections LLC reserves the right to modify, postpone, or cancel any Love Journey Beyond Borders experience when reasonably necessary, including but not limited to circumstances such as insufficient participant enrollment, safety or security concerns, severe weather or natural disasters, government actions, travel advisories, border restrictions, political unrest or civil disturbances, supplier cancellations or operational changes, transportation disruptions, force majeure events, or any other circumstances beyond the reasonable control of Love Journey Connections LLC.
If a journey is postponed, participants will be offered the opportunity to transfer their reservation to the rescheduled dates. If a participant is unable to attend the rescheduled journey, Love Journey Connections LLC will work with its travel partners to determine what refunds, credits, or transfer options may be available based on supplier policies and any unrecoverable expenses already incurred.
If Love Journey Connections LLC cancels a journey for reasons within its control, including but not limited to insufficient participant enrollment or operational decisions, participants will receive a full refund of all amounts paid directly to Love Journey Connections LLC.
If a journey is canceled due to circumstances beyond the reasonable control of Love Journey Connections LLC, including force majeure events, Love Journey will make every reasonable effort to recover funds from travel suppliers and will refund participants any amounts recovered. If suppliers provide credits in lieu of refunds, Love Journey may pass those credits on to participants. Love Journey Connections LLC shall not be responsible for amounts retained by third-party travel suppliers in accordance with their cancellation policies.
Where applicable, the cancellation, refund, and change policies of our travel partners and suppliers will be provided to participants as they become available and are incorporated into this policy by reference. By completing a reservation, participants acknowledge that certain portions of their trip may be subject to the terms and conditions of those third-party suppliers.
Love Journey Connections LLC is not responsible for reimbursing independently purchased airfare, accommodations, transportation, passports, visas, travel insurance, or any other personal travel expenses. Participants are strongly encouraged to purchase comprehensive travel insurance to protect against unforeseen circumstances.
Participants who fail to arrive for departure, arrive late, voluntarily leave the journey after it has begun, or miss any portion of the itinerary are not entitled to refunds for unused services.
Comprehensive travel insurance is strongly recommended and may be required for certain destinations. Participants are encouraged to obtain insurance that includes trip cancellation, trip interruption, emergency medical treatment, emergency medical evacuation, lost or delayed baggage, flight delays, and personal liability coverage.
Participants are solely responsible for purchasing and understanding their insurance coverage.
Love Journey shall not be liable for cancellations, delays, itinerary modifications, interruptions, losses, or additional expenses resulting from circumstances beyond its reasonable control, including but not limited to acts of God, severe weather, earthquakes, floods, fires, pandemics, epidemics, war, terrorism, civil unrest, labor strikes, transportation disruptions, government actions, border closures, or other unforeseen events.
Love Journey recognizes that extraordinary circumstances may occasionally arise. Any exception to this policy is made solely at the discretion of Love Journey Connections LLC. An exception granted in one circumstance does not create a precedent or obligation to grant exceptions in future situations.
This policy shall be governed by and interpreted in accordance with the laws of the State of Florida, United States, without regard to conflict of law principles.
By submitting a reservation, paying a deposit, or making any payment toward a Love Journey Beyond Borders experience, you acknowledge that you have read, understood, and agree to this Reservation, Payment & Cancellation Policy.
